All University academic and administrative mail is delivered and processed in the Copy and Mail Center. There is daily delivery and pickup by the U.S. Post Office and UPS, and frequent deliveries and pickups by Fed Ex or DHL (these pickups should be arranged by the customer for swifter service).

All letters and small packages are distributed to employee mailboxes upon delivery. Packages that are too large for the mailboxes are set aside and notifications are placed in the appropriate mailbox. When employees receive large orders or multiple items, Email or voicemail notification is made to arrange pickup or delivery of the items.

Incoming Mail

U.S. mail is distributed between 11 a.m.–3 p.m. Monday–Friday, except for university breaks and holidays.

UPS parcels are delivered by 3 p.m. daily, except for Next Day Air parcels, which are delivered by 10:30 a.m. daily, except for university breaks and holidays.

Federal Express, or others make deliveries throughout the day.

In-house mail is distributed to employee mailboxes several times a day. Student In-house mail is routed to the Student Union for distribution by Residence Life staff.

Student mail is distributed by Residence Life staff in the Student Union. Private mailboxes are assigned to all full-time resident students. Student mailboxes are located in the Student Union. Incoming mail for students that is sent to the general Viterbo mailing address will be forwarded to the student through in-house mail. Students will be notified, via email, of packages that are sent to them at the general Viterbo address, so they can arrange pickup during mail room hours.

Outgoing Mail

General mail: Employees and students can mail letters, large envelopes, and packages from the mail room. Postage should be paid at the time letters or packages are brought in for mailing. Stamps can be purchased in the mail room or at the Viterbo Bookstore. Mail is picked up when delivery is made, around 10 a.m. daily.

Presort mail: Picked up around 2 p.m. daily and includes all departmental #9 and #10 envelopes that came in after the morning mail pickup.

Standard mail (bulk): Delivered to the USPS after the mailing is prepared by mail room staff. Requirements for standard mail must be met in order to receive standard postage discount rate.

UPS: Picks up packages as they are prepared—usually between 10 a.m.–3 p.m.

Prepaid: Employees and student can also drop off prepaid packages in the CMMC for USPS, UPS, or FED EX pickup service. Letters and packages with return labels from FedEx, UPS, or USPS are picked up when they deliver. Viterbo may not receive packages from Fed EX  every day.

Personal mail: Can be sent from the mail room and picked up at the same times as above. Personal mail must be paid for at the time it is brought to the mail room for mailing.

Folded self mailer: Paper requirements for self mailers is a minimum 90# for postcards or a minimum 70# for folded pieces. Folded pieces must be addressed and tabbed.
